Job Description

Role and Responsibilities:

This position performs all duties necessary to accurately and timely produce high-quality client invoices in accordance with Firm billing guidelines, as well as monitoring and follow-up after billing is sent. This position is also responsible for assisting with the Firm’s credit and collections processes. This position reports to the Billing Manager. Duties may include, but are not limited to:

Essential Duties and Responsibilities:
• Responsible for generation of accurate preliminary invoices, processing invoice revisions, finalizing and communicating invoices to clients, electronically and manually, on a monthly basis
• Effectively and professionally interact and communicate with Firm personnel at all levels, as well as clients
• Assist with processing and distribution of monthly billing worksheets for manual bill managers;
• Assist Partners/Bill Managers with collection of past-due accounts through production of collection letters and placement with outside collection agency as required
• Assist with monitoring of collections placed with outside agencies as to status, and report to Billing Manager quarterly
• Assist with monitoring client past-due accounts converted to loans as to status; and report status in monthly management reports
• Special projects as assigned
• Utilizes computerized accounting and billing software programs, including Word and Excel, to perform duties and responsibilities
• Ensures strict confidentiality at all times

Required knowledge and skills:
• Minimum of 3 years’ recent billing experience
• Bachelor’s degree in Accounting, Finance or Business is a plus
• Previous billing experience in an accounting firm or other professional services company is highly preferable and experience with Wolters Kluwer CCH-Axcess/Workstream a plus
• Must be adept at problem-solving, including being able to identify issues and resolve in a timely manner
• Proficiency with Microsoft Office, particularly Excel/Word; also, Adobe Acrobat
• Excellent written and verbal communication skills, particularly communication with employees, members of management, and clients
• Ability to prioritize multiple tasks and meet recurring deadlines is essential
• Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information

• Strong attention to detail and accuracy, producing quality work products
• Reliable and organized
• Must be dependable, able to follow instructions, respond to management direction
• Proactive thinking and execution abilities
• Must possess outstanding interpersonal skills in order to work effectively within a team environment, as well as independently
• Ability to adapt to new assignments and deadlines in a fast paced, highly demanding environment is required
• Additional requirements include outstanding customer service demeanor and flexibility for possible required overtime hours
• Perform all job duties with a commitment to providing superior customer service
• Maintain an atmosphere of teamwork and continuous improvement
